This News Broadcast format features our “Best Practices” for implementing and utilizing Tabs3, PracticeMaster, and Worldox. We’ve learned a LOT over the years, and this is our format for taking some of those great ideas and giving them to as many people as we can!

Learn best practices for getting users out of Tabs3 or PracticeMaster

Every once in a while, you need to get everyone out of Tabs3 and/or PracticeMaster to perform some task that requires exclusive access to the program(s).

With Platinum, it’s easier because you have the ability to safely logout users that have ignored your gentle reminders to logout themselves. There are certain things you can do, in Platinum and Non-Platinum versions to ensure that you get everyone out safely and also have a complete backup in case something goes wrong.

Learn the ins and outs of the chart of accounts in GL and how to access account information

With the release of version 17, moving around the chart of accounts has never been easier. You can add, delete, and move accounts from the new screen that allows you to see the changes you are making as you are making them.

You can also access information about each account and see things in ways that have never been available before, all from this new visual interface.

Learn How to Save Report Settings to Use Over and Over Again

There are certain reports that you use a LOT, and when you run these reports, you are probably choosing certain settings over and over again.

Tabs3 and the accounting software offer the ability to save those settings and then load them later without having to choose them again. You can even group multiple reports together into “Report Suites” so that you can run them all from one screen.

Learn How to Use the “Projects” Feature in Worldox to Organize Your Files

Worldox is great at helping you to find things, and it allows you to group your files by Profile Group (matters, vendors, etc.) and Document Type (Pleadings, emails, etc.), but what do you do when you need to group files by something else? Maybe it’s a subgroup of a matter, or maybe it’s a group that includes documents from many matters – what then?

The Projects feature in Worldox allows you to group ANY files and keep them together in an easily accessed area where you and anyone else (that you allow) can work on or view without disrupting their original location.

Learn All the Ins and Outs of the New Journal Entry Screen in Version 17 of General Ledger

There have been many changes and improvements to the journal entry screen over the years, but never has the look and feel changed so drastically as it did with version 17.

While it may look a little scary, the new interface is not that difficult to understand, and the improvements definately overcome the pain of learning something new.

We will show you how to navigate the new window while pointing out all the new features that will make your life easier.

Learn How to Use the Matter Manager

The Matter Manager is the client view of choice for many attorneys because it brings everything together onto one chronologically organized screen – people, client info, fees, costs, notes, emails, documents, even billing information.

Some people, however, have never even seen the Matter Manager. Perhaps it was released after they started using PracticeMaster, and they may not have noticed its’ appearance.

Learn about Quickviews in PracticeMaster

Before version 17, you could filter (just judges in the contact list, for example) and you could sort (by last name, maybe), and you could show just the columns that were important (county and jurisdiction in this example), but you had to set all these things just right, and you had to know where to go to do that. Learn how the new “Quickviews” feature in version 17 pulls all of these things (and more) together and puts them right on the list tab where anyone can easily use them.

Reassigning, Renaming, or Deleting a User and the effects on current calendar entries

People come and people go, but how does that affect the userlist in Tabs3 and PracticeMaster? Find out why you should NEVER delete a user before you’ve done certain things (and learn what those “certain things” are). Also learn how to add users to (and remove users from) groups, and the important steps you should take to make sure EVERYONE shows up for that staff meeting.

Fee Compensation Rules

Since version 14, Tabs has included a sophisticated mechanism to help allocate payments called “Fee Compensation Rules”. We look at how these rules can be setup so that payments are distributed correctly (and automatically) as they are posted.

Tying Tabs3 Payments to GL

Tabs3 integrates with General Ledger so that payments that are entered into Tabs are automatically posted to the appropriate income accounts in the General Ledger System and on the Income Statement. We look at how you can tie these two sets of numbers together so that they balance, and talk about certain gotchas that can throw a monkey wrench into the mix.

Client Funds vs. Trust Accounting

Client Funds is a feature of Tabs3; Trust Accounting is a separate module; but what are the differences? Why would you use one over the other? How do they work? Watch as Mary Jo digs into these questions in this month’s episode of The Paul & Mary Jo Show.

Snapshots in PracticeMaster

The Client and Contact files in PracticeMaster have really nice looking snapshots that layout all the pertinent information in a usable and visually appealing way. But what if you want to add something or modify the layout? And what about other files that you might have added to PracticeMaster (like people, parties, assets, medical providers, etc.)?? Watch as Paul shows us how much control we really have over these snapshots in this month’s episode of The Paul & Mary Jo Show.

Using the Client Manager in Tabs3

There are lots of things that you might want to do to a particular matter in Tabs3: add or edit fees, costs, or payments, print bills, see A/R info, view ledger history, write up or down fees, write off balances – the list goes on and on. Watch as Mary Jo demonstrates how to use the Client Manager to do all these things from one convenient location in this month’s episode of The Paul & Mary Jo Show.

Billing through Outlook

Lawyers send a LOT of email, and many of them bill for those emails. PracticeMaster has the ability to create fees directly from Outlook, and it can even show you – in Outlook – which emails have had fees created for them. Join Mary Jo as she explains how this works in this month’s episode of The Paul & Mary Jo Show.

Using Integrated Accounting with Tabs3

Some firms have Tabs3, but use another program to keep track of their books. Software Technology, the folks that make Tabs3 and PracticeMaster, have a suite of accounting programs that integrate seamlessly with the billing software and pass information back and forth, eliminating the need to enter things twice (or even three times).

With integrated accounting, there is less potential for error, and things go to the right places instantly, so everything is always up to date, and there’s no waiting to get access to financial reports.

Giving Attorneys Access to Billing Info from PracticeMaster using Tabs3 “Punch Through”

In version 16 of PracticeMaster, we finally got some limited billing information in the new “Matter Manager”. For many, this was just what the doctor ordered, but some attorneys still want more. The folks in the accounting or billing department have other thoughts about letting attorneys into that software – there’s just too much that they can mess up.

We’ve developed a concept called “Tabs3 Punch Through” that provides the attorney with that access to the more detailed billing information in Tabs3, provides that access from the Matter Manager in PracticeMaster, and still protects the Tabs3 data from anything they shouldn’t be doing or seeing.
